How to take bookings and deposits for photographers?

Photography sales happen in two steps: first the date is booked, then the shoot happens. The gap lasts weeks and loses the most money — date is booked, no deposit taken, client cancels, that day sits empty. This guide builds the package-reservation-deposit chain.

Define packages clearly

"Message for price" is the biggest client-killer in photography. Define at least three packages and explain what's included:

  • Duration (2 hours / half day / full day)
  • Delivered images and retouched images
  • Delivery timeline (e.g., 10 business days)
  • Add-ons (album, prints, second photographer, drone)

Book the shoot date

The shoot date becomes an appointment; the duration is the package duration. Leave buffer time for prep and travel — back-to-back shoots means arriving late to the second.

Deposit: what locks the date

Simple rule: the date isn't confirmed until deposit is paid. Write this kindly but clearly. Two options:

  • Collect card payment during booking
  • Send payment link in chat — date confirms when payment arrives

Cancellation and rescheduling policy

For wedding and event shoots, the date is irreplaceable; most cancelled days don't get rebooked. Three sentences work: when deposits are refunded, how far ahead rescheduling is allowed, and what happens with weather.

Portfolio: your site's real job

On a photographer's site, you sell work, not words:

  • Galleries by category (weddings, products, portraits, events)
  • Each gallery has fewer but better images — 15 strong shots, not 100 mediocre ones

Delivery and after

Taking bookings without deposits. The costliest habit.
